Letter Writing: An Introduction

A letter is a printed or written message someone sends to someone or entity. It is one of the most important means of keeping in touch with friends and relatives or doing official work. We convey our thoughts or say what we want to say, through our letters. Since a letter is written to a person who is at a distance, we have to take care while writing it. We must be careful that our letter carries properly the thoughts and information we want to convey. So we should write our letters in simple and plain language. In this way, we can avoid confusion or misunderstanding and make our letters pleasant to read. Letter Writing is an art and this art is to be cultivated. Based on the functions, letters may be divided into five (5) broad categories ---- a) Personal Letter b) Official Letter c) Business Letter d) Press Letter and e) Invitation Letter Learn more about these letter categories below.

Different Types of Letters:

a) Personal Letter

As the name suggests, a personal letter is intended for personal use. Letter to friends and family members falls into this category. All these letters have parts in them. They are- a) Heading or writer's address b) Salutation C) Body d) Subscription e) Signature f) Superscription or outside address Now look at the following image for further clarification.

b) Official Letter

As the name suggests, the official letter is used for official purposes only. Letters to the Govt and institutional officials fall into this category. Leave applications, appointment letters, resignation letters and complaint letters fall into this category.

c) Business Letter

Business letters are used for business purposes only. Letters for giving orders and quotes, returning items, service agreements, and rental agreements fall into this category.

d) Press Letter or Editorial Letter

A letter to the editor of a news agency falls into this category. Letters for editorial releases and press conferences are such examples of Press Letters.
Some grammarian divides letters into four (4) broad categories. (i) Personal Letter (ii) Official Letter (iii) Letter to the Editor (iv) Business Letter

Letters can also be classified into two categories- Informal Letter & Formal Letter.

i) Informal Letter

Personal letters from the above categories fall into the Informal letter category. The tone of the letter is informal. The author can express his thoughts freely in this letter.

ii) Formal Letter

The other four categories namely, official letters, business letters, social letters and letters to the press fall in the Formal letter category. The author must maintain a formal tone with all courtesy in this letter.
